MSOFT Claims Inc. respects your privacy. This policy explains what information we collect, how we use it, who we share it with, and the rights you have over your data.

1. Scope

This Privacy Policy applies to information collected by MSOFT Claims Inc. (“MSOFT,” “we,” “us,” or “our”) through:

  • Our public website at msoftclaims.com;
  • The MSOFT claims management platform and its modules (including MSOFT IntelliReview);
  • Communications with our team via email, phone, demo requests, or the contact form.

Where MSOFT acts as a data processor on behalf of a customer (for example, processing claims data inside our platform), the customer is the data controller and their privacy notice governs the underlying personal data of claimants. This policy describes our practices as a controller for our own website visitors and direct contacts.

2. Information we collect

Information you provide directly

  • Contact information: name, work email, phone number, company, role, and any details you include when filling out our contact form, requesting a demo, or emailing us.
  • Account information: credentials and profile details for users authorized by our customers to access the MSOFT platform.
  • Communications: records of your correspondence with us, including support tickets, emails, and call notes.

Information collected automatically

  • Usage data: pages visited, links clicked, time on page, and referrer.
  • Device and connection data: IP address, browser type, operating system, and device identifiers.
  • Cookies and similar technologies: see Section 9.

Information from third parties

We may receive information from business partners, integration providers, or publicly available sources to verify a contact, qualify a lead, or support an integration that you or your organization has authorized.

3. How we use information

We use the information we collect to:

  • Respond to inquiries, schedule demos, and provide the information you request;
  • Provide, maintain, and improve the MSOFT platform and its modules;
  • Authenticate users, enforce access controls, and protect against fraud and abuse;
  • Send service communications (e.g. release notes, security advisories, scheduled-maintenance notices);
  • Send marketing communications about MSOFT products where permitted by law — you may opt out at any time;
  • Comply with legal obligations and enforce our terms.

4. How we share information

We do not sell personal information. We share information only as described below:

  • Service providers: hosting, analytics, email delivery, customer-relationship-management, and similar vendors acting under written agreements that restrict their use of data.
  • Customers (for platform users): if you are a user of the MSOFT platform, your activity is visible to your organization in the same way that any enterprise application's activity is visible to the customer.
  • Legal & safety: when required by law, subpoena, or court order, or to protect the rights, property, or safety of MSOFT, our customers, or the public.
  • Corporate transactions: in connection with a merger, acquisition, financing, or sale of assets, with appropriate confidentiality protections.

5. Claims data we process

The MSOFT platform is designed to process claims data on behalf of our customers, who are the data controllers for that information. Depending on the modules a customer enables, this may include:

  • Claimant identity and contact information;
  • Employment, demographic, and policy information;
  • Medical bills, treatment records, and Explanation-of-Review documents (where IntelliReview is enabled);
  • Financial information necessary for payment and recovery (e.g. payee details, ACH information).

We process this data only on the customer's instructions and under the terms of our customer agreement. We apply technical and organizational measures appropriate to the sensitivity of the data, including encryption in transit and at rest, role-based access controls, and full audit logging. Claimants and other data subjects with questions about claims data should contact the MSOFT customer that holds their record.

6. Security

We follow industry-standard practices to protect the information we hold:

  • Encryption in transit (TLS) and at rest;
  • Role-based access controls and least-privilege provisioning;
  • Audit logs for every data change inside the platform;
  • Network segmentation and intrusion monitoring on production environments;
  • Regular vulnerability scanning, patching, and third-party penetration testing.

7. Data retention

We retain personal information for as long as needed to provide our services, fulfill the purposes described in this policy, comply with legal obligations, resolve disputes, and enforce agreements. Customers control the retention of claims data inside the platform under the terms of their agreement with us, and may request deletion or export at the end of that agreement.

8. Your rights

Depending on your jurisdiction, you may have rights regarding the personal information we hold about you, including the right to:

  • Access the information we hold and request a copy;
  • Request correction of inaccurate information;
  • Request deletion of your information, subject to legal retention requirements;
  • Object to or restrict certain processing;
  • Request portability of your information to another provider;
  • Withdraw consent for marketing at any time.

To exercise any of these rights, email info@msoftclaims.com. For claims data inside the platform, contact the MSOFT customer that holds your record — we will assist them in honoring your request.

California residents: the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA) provide additional rights including the right to know, delete, correct, and limit the use of sensitive personal information. We do not sell or share personal information for cross-context behavioral advertising.

9. Cookies & tracking

Our website uses a small number of cookies and similar technologies to:

  • Keep the site working (essential cookies, including security and load-balancing);
  • Measure how visitors use the site so we can improve it (analytics cookies);
  • Remember preferences you set (functional cookies).

You can control cookies through your browser settings. Disabling some categories may affect site functionality. We do not use cookies for cross-site advertising.

10. Children's privacy

The MSOFT website and platform are not directed at children under 16. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, please contact us so we can delete it.

11. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, if changes are material, provide additional notice (such as an email to active customers or a banner on our website). Your continued use of our website or platform after the effective date of an updated policy means you accept the changes.
